To support the dynamic needs of our Managing Partner and maintain the seamless operation of both professional and personal engagements, we are seeking a dedicated and proactive Executive Assistant/Personal Assistant. This role is pivotal in ensuring that critical tasks are executed efficiently, schedules are optimized, and priorities are consistently aligned with the firm’s goals. By stepping into this role, you will play an essential part in driving the operational excellence and high standards that define Lucosky Brookman LLP’s success.

What you’ll do:

  • Managing and Integrating Schedules: Oversee a complex calendar that includes business meetings, conferences, travel, and personal engagements. Ensure schedules are optimized, conflicts are resolved promptly, and priorities among commitments are effectively balanced.
  • Managing Correspondence: Oversee all communications, including telephone calls, emails, letters, etc., ensuring timely responses in line with established protocols. Maintain a proactive approach to ensure nothing falls through the cracks.
  • Coordinating Travel Arrangements: Handle all aspects of professional and personal travel planning, including booking flights, arranging accommodations, planning excursions and meals, organizing transportation, providing directions, and shipping necessary materials. Coordinate with relevant family members to ensure schedules and travel plans are aligned seamlessly.
  • Event Preparation and Follow-Up: Confer with Managing Partner and/or the designated point person after each calendar event to verify follow-up actions and next steps. Ensure all necessary materials are prepared in advance according to company protocols and delivered or brought to the event. Communicate follow-up tasks to the appropriate parties and track their completion effectively.
  • Preparing for Meetings: Coordinate all aspects of meeting preparation, including setting up conference rooms, arranging necessary materials, and serving refreshments as needed. Ensure a professional and welcoming environment for attendees. Prepare conference rooms and oversee hospitality needs for meetings.
  • Office Management: Maintain a highly organized office environment, including ordering supplies and stocking common areas.
  • Handling Special Projects: Perform special projects and assignments as requested, ensuring they are completed efficiently and in alignment with organizational goals.
  • Team Collaboration and Administrative Support: Work closely with Partners, Associates, and employees to facilitate smooth communication, support shared objectives, and assist management and administrative teams with tasks to maintain operational excellence.

  • Experience: A minimum of 3-5 years of strong Executive Assistant experience, with a proven track record of supporting high-level executives and managing complex responsibilities.
  • Decision-Making: Decisive and proactive, with the ability to make informed decisions independently. Knows what to do in any situation without hesitation.
  • Adaptability: Skilled in working with a quickstart personality—able to match a fast pace when necessary, while also knowing when to slow things down and provide thoughtful guidance.
  • Driven to Achieve: Naturally motivated to accomplish tasks efficiently and effectively. Thrives on getting things done and achieving meaningful results.
  • Emotional Resilience: Calm under pressure, never ruffled, and unaffected by the emotions of others. Maintains focus and professionalism, regardless of external circumstances.
  • Leadership: Takes ownership of responsibilities and leads with confidence. Handles situations with authority and ensures that tasks are completed without delay.
  • Proactive Follow-Up: Recognizes the importance of timely responses. For example, instead of simply flagging an important email, blocks time on the calendar, drafts a response, and ensures follow-through.
  • Quick on Their Feet: Highly responsive and able to think critically in fast-paced or unexpected situations. Balances urgency with precision.
  • Availability: Willing and able to handle evening and weekend calls as part of a demanding but rewarding role.
