We are looking for a highly organized and proactive Facility Office Manager for our Mumbai office to ensure smooth day-to-day operations of the workplace. The ideal candidate will be a dynamic professional with strong communication skills and hands-on experience in managing office facilities, vendors, assets and operational logistics.
Key Responsibilities:
- Oversee relationships with vendors for security, housekeeping, pest control, pantry services, AMC (Annual Maintenance Contracts), food services, and other facility-related functions.
- Manage employee travel arrangements, transport services and ensure seamless coordination.
- Optimize office layouts, seating plans and ensure effective utilization of available space.
- Coordinate with IT teams to manage office IT assets and infrastructure.
- Handle regular maintenance, repair of office equipment and ensure the workplace is fully operational.
- Maintain stock levels of office supplies, pantry essentials and equipment.
- Oversee the tracking, auditing and management of office assets on the premises.
- Prepare and maintain detailed MIS reports related to facility operations, expenses, and vendor performance.
- Strong ability to communicate effectively in English and local language to interact with stakeholders, vendors and global staff.
Desired Skills & Competencies:
- Proven experience 7-10 years in office management, facility operations.
- Excellent communication skills in English and local language.
- Strong vendor negotiation and relationship management skills.
- Solid understanding of IT assets, inventory tracking and office equipment maintenance.
- Ability to manage multiple tasks, prioritize work and resolve issues efficiently.
- Proficiency in preparing and analyzing MIS reports.
- Excellent organizational skills with a high level of attention to detail.
- Proactive, result-oriented and able to work independently in a fast-paced environment.
